    Terms And Policies

    To order any U.S.Tours Package

    Simply call us at 1-304-485-8687 or contact your Business Development Manager, and we’ll discuss the features and price of your tour, then provide a written quote.  Once you return a signed quote, we will begin tour production and provide any sales flyers you wish.  All quotes are subject to availability. No price or service is guaranteed until confirmed by our office.

    Terms of Purchase

    Unless stated to otherwise, a $250 group deposit is due within 30 days of the contract date.  A $200 per person deposit is due 90 days prior to departure.  Final payment and rooming list are due 45 days prior to departure.  If a motorcoach is included a rooming list is due at 65 days prior to departure.  Passenger Itineraries, Hotel Lists & Luggage Tags are available a few days after we receive your rooming list and final payment.  Your final Operations Booklet with detailed schedules, maps, notes, vouchers, etc. will arrive 10 – 14 days before departure.  Smiles and memories begin at time of service.

    All Tours Include

    Lodging and overnight accommodations are in first class hotels, motels, and resorts.  Admissions and sightseeing costs as featured in the itinerary. All taxes and gratuities on featured services, and costs for baggage handling (where available).

    Customized Complimentary Fares

    U.S. Tours as a practice provides one free double with every 16 paid fares.  But we will provide any Complimentary Fare benefit you desire. We recognize Group Planners often need a different scenario and we are willing to re-price your package and factor in air fare, port fees, gratuities and Single rooms. 

    Last Minute Booking Policy

    We know sometimes you will have a customer who wants to go at the last minute. When this happens, simply call and let us know, we’ll do our very best to get them on board.

    Motorcoach Tour Cancellation Policy

    We hope to minimize penalties on customer cancellations. Should one of your members cancel and you replace them from your waiting list there will never be a penalty from us.  Note, some suppliers, such as airlines, may charge a fee for name changes. 

    Travel Protection Details

    Missing a vacation is bad enough. Losing the money you paid for your vacation is even worse. The U.S. Tours Travel Protection Plan is an easy, affordable way to protect your travel investment! Our very affordable group rates provide protection and peace of mind when you travel.

    U.S. Tours Cancellation Policy

    • $200 per person 45 days prior to departure.
    • 50% per person starting at 30 days prior to departure.
    • 100% penalty starting 15 days prior to departure.

    Cruise and Air penalties will vary.  We offer a separate Insurance Policy that provides coverage against penalties as well as additional benefits. Please ask us for a copy.

    International Border Crossings

    On any tour leaving the United States, it is the responsibility of each passenger to have in their possession proper documents and proof of citizenship.  It is the responsibility of the group leader to advise all passengers what is required.  

    Currently, land crossings to Canada and Mexico require a passport or other WHTI-compliant travel document.  U.S. Tours strongly advises all travelers have a valid Passport for any travel outside the United States. . All other documents have limitations, and travelers can be denied boarding or entry in some situations.

    All air travel to destinations outside the United States and its territories will require a US Passport; generally valid for at least six months beyond completion of travel.  Some destinations require travel visa; visit travel.state.gov for the most up to date information. 

    Airline baggage fees are the  responsibility of the guest and paid directly to the airline. 

    U.S. Tours Reservation Forms

    In compliance with Homeland Security,  dates of birth and passenger’s full legal name as shown on proof of citizenship will be required for any air travel.  

    Using our standard Reservation Form will prompt your travelers to provide complete and proper information so we can make your reservation process simpler.  Please download the Reservation Form and give one to every prospective traveler.

    Additional Airline Requirements

    On all flights returning to the USA travelers are subject to a security screening of all electronics larger than a cell phone (laptops/ipads/tablets, etc.).  You will be asked to remove all covers or casings from electronics prior to check-in.  In addition, any electronic equipment in disrepair or broken screen will not be allowed to travel.  

    Plan to arrive at the airport 3 hours prior to their flight as advised by TSA (Transportation Security Administration) and CESAC (Specialized Forces for Airport Security and Civil Association).

    For domestic air travel, all passengers with a driver’s license issued by a state that is still not compliant with the REAL ID Act (and has not been granted an extension) will need to show an alternative form of acceptable identification.  To check whether your state is compliant or has an extension, click here

    U.S. Tours cannot be held responsible, and cannot delay a tour if any passenger is denied border crossing, or boarding onto a cruise ship or airplane.  We recommend everyone obtain a Passport. Regulations regarding border crossings and identification are changing.  

    Delivery of Documents

    U.S. Tours Operations Books for motorcoach tours are not completed until 10-15 days before your departure, as stated on your Tour Confirmation. We can provide you with passenger itineraries at 30 days prior, once your Room List and Final Payment have been received. If you require more information earlier than this, we can provide a tentative Operations Schedule – but it will not be finalized until the entire Operations Book is finalized. Passenger Itineraries contain hotel names and phone numbers, as well a daily sequential list of events. We do not provide individual passengers with times.

    Responsibility

    As is common with other tour companies, U.S. Tours it’s agents, affiliates, employees, shareholders, officers, et al, act only in the capacity of an agent between tour members, travel service companies and other suppliers in all matters relating to arrangements for tour components.

    U.S. Tours, because of its status as an agent and because it does not own or operate any person or equipment which provides services for these trips, assumes no responsibility for and cannot be held liable for any personal injury, property damages or other loss, accident, delay, inconvenience or irregularity from whatever cause.  That includes the negligent act of third parties during a trip.

    We maintain no control over Government and/or Security Agencies and we are not liable for individual damages and costs due to denied boarding. In addition, we make no specific guarantee that the description of services and facilities provided by and of the various vendors involved in package travel are accurate.

    Further, U.S. Tours reserves the right to change or cancel tour itineraries and any tour components or services, whenever U.S. Tours, in its sole discretion, deems such change necessary. All air fares, cruise fares, and rates for other transportation and tour services are based on fares in effect at the time of printing and are subject to carrier tariff changes, and supplier surcharges.

    U S Tours is not responsible and cannot held liable for financial loss or personal injury of any travelers due to acts of God, such as severe acts of nature or weather events including floods, fires, earthquakes, hurricanes, or explosions. Or war, acts of terrorism, and epidemics; acts of governmental authorities such as expropriation, condemnation, and changes in laws and regulations; strikes and labor disputes; and certain accidents

    You are voluntarily participating in a U S Tour and as lawful consideration for the agreement to travel with U S Tours you agree not to make a claim against U S Tours its related companies, officers and employees for injuries, death, or any other claim.  You further agree to release U S Tours, its related companies, officers and employees from any such claim.  The release is binding on all members of your traveling party, as well as Estate and heirs and shall be enforceable even after your trip has ended.

    U S Tours is not responsible and will not be bound by misrepresentation made by third party representatives, travel agents, unaffiliated websites, or any other party.

    Participants may be photographed for promotional purposes of U S Tours and any comments sent to us as a written review or as a social media post may be used for promotional; purposes.

    Payment of your deposit to U S Tours or one of our employees, agents or group leaders constitutes acceptance of these terms and conditions. These terms and conditions can be modified without notice.
